SOW: Type Setting

Scope of Work (SOW) for Typesetting Services

Purpose:  The purpose of this document is to provide a clear understanding of services needed, and to request a bid for Typesetting services only, in relationship to and in connection with the Oakland Bay Area Chapter of The Links, Incorporated’s (OBAL) Cotillion. Your response does not constitute a contract.

The services described below are continuing up through, including and subsequent to the OBAL Cotillion which will be held at the San Francisco Marriott Hotel, Saturday, February 26, 2022. Please read this SOW  carefully and state your price(s) in the area(s) indicated.

OBAL will award the final contract based on the following criteria so please address these components in your response:

Summary of Services

Cotillion Typesetting Services RFP Summary

  1. Perform graphic layout of the Souvenir Journal for the OBAL Cotillion using “In Design” software or the equivalent                              recognized program by the print industry.
  2. Work closely with the OBAL Souvenir Journal Chair to ensure deadlines are met for the following:
  3. a) Debutante family pages (bio and pictures)
  4. b) Escort bios (bio and pictures)
  5. c) Return typeset/formatted/designed pages for proofing by Souvenir Journal Chair in a timely manner.
  6. Work closely with OBAL Advertising Chair to ensure deadlines are met for approved Ads for the following:
  7. a) Ads by participant supporters
  8. b) Ads submitted by OBAL members and other supporters of the Cotillion.
  9. c) Return typeset/formatted/designed pages for proofing by Souvenir Journal Chair in a timely manner.
  10. Coordinate with the Cotillion Chair or designee for the following:
  11. a) Cotillion Chair statement (letter)
  12. b) President’s statement (letter)
  13. c) Philanthropic page
  14. d) Hotel menu and program pages
  15. e) Alumni Section
  16. f) Previous year participants’ photograph
  17. g) New and updated OBAL members and Connecting Link (spouses) photographs
  18. h) Memorial Section
  19. i) Filler pages as approved by Chair or designee to meet printing multiple of 4 pages
  20. j) List of Debutantes and Escorts
  21. k) Activities Photo Gallery
  22. l) Debutante Ad Winner
  23. m) OBAL 2021/2022 Officers and Committees
  24. n) Return typeset/formatted/designed pages for proofing by Souvenir Journal Chair in a timely manner.
  25. Keep the Cotillion Chair or designee updated on the progress of the Souvenir Journal at all times.
  26. Provide a soft copy of the final draft to the printer selected by OBAL. Cost to be reimbursed by OBAL.
  27. Perform corrections of the blue-line copy under the direction of the Souvenir Journal Chair, with no additional charges if less               than fifty (50) pages require corrections.
  28. Coordinate with cover designer on color scheme, (matching menu/program pages) submission deadline for printing and                    pagination to meet specified page multiples.



By completing and submitting this SOW, you are committing to OBAL that, if selected, you have adequate resources and staffing to meet the needs of the OBAL and the OBAL Cotillion through the completion of your contract.

The price(s) quoted herein shall be valid as of the date signed and if accepted, continue in effect until the contract is fully performed.
