Oakland Bay Area Chapter of The Links, Incorporated 60th Annual Cotillion

Scope of Work (SOW) for Choreography Services

PURPOSE: The Purpose of this document is to provide a clear understanding of services needed, and to request a bid for Choreography services only, in relationship to and in connection with the Oakland Bay Area Chapter of The Links, Incorporated’s (OBAL) 60th Annual Cotillion. Your response does not constitute a contract.

The services described below are continuing up through, including and subsequent to the Links 60th Cotillion, which will be held at the San Francisco Marriot Hotel, Saturday, December 22, 2018. Please read this Scope of Work carefully and state your price in the area indicated. No fax or electronic copies will be accepted.

The successful candidate will be contacted no later than August 1, 2018

The Links will award the final contract based on the following criteria so please address these components in your response.

SCOPE OF SERVICES

Scope of Services for the OBAL Cotillion event which will be held on Saturday, December 22, 2018 at the San Francisco Marriott Marquis Hotel:

Choreography of 5 dances including, but not restricted to contemporary ballroom dance forms and requisite instruction for the exclusive purpose of performance in the 2018 OBAL Cotillion.

The dance configurations are to be designed with consideration for time, space and participant ability parameters.

The dance configurations are also to be developed thematically within the framework of the prescribed program format as advised by the designated OBAL liaison.

TIME COMMITMENT

Time commitment parameters include planning, choreographic development and preparation along with consultation meetings as needed with the Orchestra Director towards facilitation of the formal presentation. Also included in time allocation are the scheduled rehearsals with participants, consultation meetings with representative(s)/designated liaison of OBAL, and includes transit time (mileage and/or other associated transportation costs borne by the vendor/contractor).

a) Commitment to eight (8) scheduled rehearsals with participants from 1:00 p.m. until 5:00 p.m. or the agreed upon designated time on the following consecutive Sundays:

  • October 28, 2018
  • November 4, 2018
  • November 11, 2018
  • November 18, 2018
  • November 25, 2018
  • December 2, 2018
  • December 9, 2018
  • December 16, 2018

b) Commitment to one (1) technical rehearsal with performance review at the San Francisco Marriott Marquis Hotel from 7:30 a.m. until 12:30 p.m. on Saturday, December 22, 2018.

c) Commit to one pre-Cotillion planning meeting and one post-Cotillion wrap-up meeting with an OBAL Representative and other applicable Cotillion Vendors.

OBAL’S OBLIGATIONS

OBAL will be responsible for securing venues for all rehearsals, and a designated OBAL representative will be responsible for opening and closing each rehearsal site.

OBAL will provide the following:

a.) Lunch for participants, including the choreographer and choreography staff during scheduled Sunday rehearsals.

b.) Support from the OBAL Rehearsal Director/designated liaison to aid in rehearsal coordination, management and choreographic program design implementation.

c.) Choreographic performance enhancements, i.e., props, corsages, etc.

MISCELLANEOUS PROVISIONS

This agreement shall be governed by, and if necessary, adjudicated in accordance with the laws of the State of California. The venue for any action concerning this Agreement shall be in Alameda County.

No failure by OBAL to insist upon the strict performance by Choreographer of any term or condition of this Agreement or to exercise any right or remedy available upon a breach thereof shall constitute a waiver of any such breach or of such term or condition.
